Job Details:

BACKGROUND
Formula 21 Pitstop, a subsidiary and affiliate of African Initiatives for Relief and Development (AIRD), is an Authorized Service Centre that has been set up to repair and maintain on-warranty Toyota and other branded vehicles in the Mbarara area. To support the functioning of the service center, competent and well qualified Ugandans are invited to apply for the following available positions.

Purpose of the role

To support the branch in all areas of financial management and support the Project Manager in Service Centre administration.

Duties and Responsibilities
• Petty Cash: Issues out petty cash, receives accountability and posts expenses to the GL. Prepares expense vouchers for reimbursement.
• Cash handling: Receives payment from customers (cash & cheque), verifies and receipts onto the ERP system and reconciles all collections for the day.
• Invoicing: Receive job cards from the workshop, confirms that both quotation & invoice values match. Bills job and issue invoice to the customer.
• Sublet handling: Create purchase orders and complete sublet processes. At the end of the month collects all supplier invoices with statements, verifies, posts and sends to head office for payment.
• Stock controls & consumables plus WIP: Verify materials balances in ERP, receive and verify stocks and confirm that the right quantities are entered in ERP. Carries out monthly stock counts and provides a report.
• Debtors: Follows up on payments for authorized service center credit customers.
• Office administration: Undertake all administrative duties, as assigned by the Project Manager, including, ensuring availability of required stationary and assorted supplies, supervision of the office assistant, procurement of branch pantry supplies etc.
• Follow up on any other finance and administration- related issues as directed by the Project Manager e.g. audit issues, Anzen etc.
• Supervise the Office Assistant
• Acts as the Secretary for the service center.

Experience and Educational
Qualifications

• Bachelor’s degree in Accounting & Finance, Business Administration (Accounting option) or other related courses.
• At least two years of experience in practical accounting as a Finance Officer.
